They enable Rootsweb to limit the file size and types sent through the servers. These measures assure that attached files, which may carry virus payloads, are not distributed wholesale through the system. HTML coded mail is filtered. Filtering stops most spam-type advertisements before they reach the mail lists. Rootsweb's anti-spam filters and processing system routes failed mail deliveries and errors to the List Manager, who makes a forwarding decision. It is the responsibility of the respective List Manager to decide what is appropriate for the list topic. In addition, all Rootsweb Lists are closed. This requires that a prospective list member have his address already subscribed to the mail list prior to any message being posted to the List. This stops 99% of the advertising attempts, as an advertiser will not go through the trouble of subscribing, and then spamming a mail list. USING THE MAIL LISTS TO YOUR BEST ADVANTAGE Rootsweb has set-up the mail list system to best fit your way of doing research. You choose your method of receiving each mail list message."List" mode mail is relayed immediately to you by Rootsweb, and "Digest" mail, which combines several posts in a single message, is sent to you at a scheduled time. FORMATTING AN EMAIL FOR EFFECTIVE RESPONSES Email programs vary, so you may have to make changes based on YOUR program in your system. WORD WRAP: there is likely a setting in your mail program that sets the line length for your outgoing messages, it is called (usually) Word Wrap, or Wrap. Set this to less than 72 characters. You may also have a setting for received mail, set this also for less than 72 characters. Turn off HTML, Stationery, V-Cards, and any format of text that isn't ASCI "Text Only" COMPOSING YOUR QUERY (EMAIL MESSAGE) KISS- Keep It Short & Simple Subject line: The Subject line should be as short and concise as possible, and should be relevant to the message. A GOOD subject says: John SMITH, Arkansas, 1850-1876 A bad one says: ........ My family Note on the recommended format above, those who read the DIGEST version, and those with many e-mails to read, can see what the subject is about without reading the message. Experienced, and busy researchers will delete unread any mail that isn't specific in the subject line. It is courteous to compose your subject line with the essential "attention grabber" that will help those in your lines find you. This is SURNAME in Upper Case text, LOCALE of the search, and TIME FRAME. NOTE: Digest users should correct the subject line when replying, and delete any unnecessary portions of the digest, from the replying e-mail. WHO, WHEN, & WHERE The ARCHIVES for the list are searched by the chronological thread of the SUBJECT line. If the subject is inappropriate or vague, bad search results wil be generated. MESSAGE BODY The Body of the message should accurately discuss what is in the subject line. It should be direct and to the point, and should provide all data known or thought to be helpful in garnishing a successful response. Ensure that SOURCES are quoted. Sourceless information has to be RE-researched, and wastes time and resources. Any researcher should be able to retrace your steps and find what you found. Long extracted family "charts" or copied text from websites should be avoided. If the data is on a website provide a URL for the located data, either as a link, or as text. If a long data posting is required send it privately to interested parties, or break it up into several separate e-mails. Long e-mails are rejected or converted to attachments, which discourages members from reading them. Long posts may "bounce" and not make it to the list or digest. Assure the subject of your e-mail is appropriate for the list. ETIQUETTE Politeness, and courtesy are required for successful research. Please remember that many types of people use the lists and inappropriate behavior may lead to removal from the list by the List Manager. It is the Manager's job to assure disruptive individuals do not hamper the list goals. The Manager may restrict your list participation. ENDLESS Chains: Endless chains of previous messages, entire digests re-quoted, and address lists make a long and unwelcome message, it wastes the server time, and clogs the archives with unnecessary text. SIGNATURE FILES Because of the newer facilities implemented into Rootsweb's system, signature files that contain long lists of your surnames are discouraged. They cause false hits in Archive searches, and in PML (Personal Mailing List) sorting. Surnames if placed in a message, and which are NOT the main subject of the message, should be broken by inserting a space holder within the name (add spaces between the letters or asterisks), such as: BULLOCK= B U L L O C K or B*U*L*L*O*C*K This makes the search facility NOT recognize this as a SURNAME and reduces false hits.
